GFO Transactions

Overview

Money Movement is a core workflow within GFO. As the platform scaled, the Create Transaction experience introduced operational friction across account selection, approval routing, and rejection handling in a regulated financial environment.

I led the redesign of the end-to-end transaction lifecycle across Originators and Approvers, focusing on reducing cognitive load, clarifying ownership, and eliminating redundant work — while preserving audit and compliance requirements.

The Challenge

Originators were required to search through 2,000+ accounts to initiate routine transactions, despite typically working within a small subset. At the same time, all eligible approvers were notified by default, diffusing ownership and creating unnecessary coordination. When minor errors occurred, the system required full transaction recreation and re-review, increasing effort across both roles.

The workflow functioned, but it did not scale efficiently across office sizes or transaction volume.

The Solution

We introduced Favorites and Hidden Accounts to prioritize frequently used accounts while maintaining full system visibility for audit purposes.

Personalized Account Management

We separated approval eligibility from notification. Originators can select specific approvers to notify while maintaining transparent access for all eligible reviewers.

This clarified responsibility without restricting oversight — a key requirement in a regulated approval workflow.

Targeted Approver Routing

Instead of recreating transactions, we preserved the original object and enabled contextual edits with visible change tracking.

This reduced duplication while maintaining a clear audit trail of revisions.
